Donor Reports

For every disbursement to your organization, we send a corresponding Donor Report. There are two types of reports: Donations Report and Donation Source Summary and Fee Receipt.

 

Understanding the Reports tab on your profile

  1. Period End Date: This will reflect all donations committed in a given period up to its end date. For example, if the Period End Date is April 30, 2018, the report will contain information on all the donations your organization received between April 1 and April 30, 2018 and will correlate to the disbursement you received around the 23rd of May.
  2. Disbursing Entity: This represents the disbursing Foundation that issued your funds. This column will also indicate the currency used for those funds as well as the currency used in the reports.
  3. Status:
    • New: The disbursement is currently being processed and will be issued to your organization by the next disbursement date.
    • Paid: The disbursement has been sent to your organization.
    • Cleared: The disbursement has been successfully deposited in the organization's account.
    • Cancelled: There are a variety of reasons a donation may appear as ‘cancelled.’ The most common reason is that a donation was cancelled by the donor, usually due to the donation being made in error.
  4. Payment Method: Benevity disburses funds through the following payment methods: Electronic Funds Transfer, PayPal, and Check. Under the Payment Method column on the reports landing page, you can see which payment method was used to send each disbursement to your organization.
  5. Disbursement ID: This ID is unique to each disbursement you receive from Benevity.

Please note that each column header can be sorted by clicking the title. For example, clicking ‘Date’ on the date column will allow you to sort reports chronologically.

 

Accessing Donor Information

Benevity is committed to protecting donor privacy. Our clients require that we verify the identities of all recipient organizations in the Benevity Causes Portal before an organization has access to their Donor Reports and donor information. Donor information can be found within the Donations Reports.

To view the associated donor information for the disbursements you received:

  1. Log in to the Causes Portal.
  2. Select the 'Reports' tab on the left-hand side of the profile.
  3. Select the drop-down menu labelled ‘Reports’ next to the disbursement ID.
  4. Click ‘View Online’ to open the report online or click ‘Donations Report (CSV)’ to open the report in Excel.

 

The Donations Report will:

  • Provide you with additional information and comments your donor(s) may have provided. If the designation or comment field is blank, the donation is meant to be directed to the general fund.
  • Note the original donations under 'Donation Amount' and gift match donations under 'Matched Amount'.
  • Inform you if the donor prefers to remain anonymous. If you see 'Not shared by donor', the donor has determined (based on their privacy settings) not to disclose this information.
  • Provide you with the Gross Total donations of the disbursement.

 

Viewing Applicable Fees

Some disbursements may have fees associated with the donations. Some of these fees may be covered by our clients, and some may not. Please refer to the Donation Source Summary and Fee Receipt to obtain more information on the fees that may have been deducted from a donation.

To view any fee information for the disbursements you received:

  1. Log in to the Causes Portal.
  2. Select the 'Reports' tab on the left-hand side of the profile.
  3. Select the drop-down menu labelled ‘Reports’ next to the disbursement ID.
  4. Click ‘Donations Source Summary (PDF)'

 

The Donation Source Summary Report will: 

  • Provide total donation amounts by company, any applicable fees, and the net payable disbursed to your organization.
  • Provide information as to which clients cover the fees and which pass the fee along to the donation. If a company has a footnote number listed next to it, see 'How are fees deducted' at the bottom of the page, which outlines fee allocation information by client.
  • If there’s no footnote number beside a client's name, they have elected not to cover any fees.
