How do I create a disbursement report and download it?

You can report on disbursements in an interactive, searchable table that makes it easy to find, filter, and export your disbursement reports for financial reconciliation. 

Reporting on disbursements

  1. Log in to your Causes Portal account and select Reporting in the left navigation sidebar. The table loads with your most recent disbursements. 
  2. Use the Quick Status toggles at the top of the table to filter by: Accumulating, Pending Approval, or Complete.
  3. To search for a specific disbursement, select Filters and enter one or more of the following:
    • Bank Reference ID — the unique bank transaction ID from your bank statement.
    • Disbursement ID — Benevity's unique identifier for the payment.
    • Date Range — a custom start and end date.
  4. Select Apply Filters to update the table, or Clear Filters to reset filters to show all disbursements.
  5. Sort the table by selecting any column header (Disbursement Date, Bank Date, or Status).

Exporting disbursement reports

To export disbursement reports to CSV, locate one or more disbursements by using the search filters.

  • To export one report, select the Export icon or download link in the row of the results table. The CSV file will download to your device immediately.
  • To export multiple reports, check the box next to each disbursement you want to include. You can select as many as you need. Select the Export Selected button that appears once at least two reports are selected. You’ll find your file in the Exports page.

CSV Report Format

The CSV export includes a comprehensive set of data to support reconciliation. The full column reference is in the Reporting Glossary. Key fields include:

  • Disbursement ID — matches the ID shown in the portal table and on your bank statement.
  • Bank Reference ID — unique bank transaction ID for matching deposits.
  • Disbursement Date and Bank Date — for period-end reconciliation.
  • FX Rate and Deposit Amount — for currency reconciliation.
  • Transaction ID, Donor details, Project ID, Fee breakdowns — for transaction-level matching.

If you have exported a combined report for multiple disbursements: 

  • All selected disbursements are included in a single CSV report with a consistent, unified format — regardless of the number of foundations or currencies included.
  • The file includes all standard disbursement report columns mentioned above. 
  • Exports for multiple disbursements are saved in Exports for 7 days.

     

How do I reconcile my bank deposits with the new disbursement reports?

The new exported report format is built around transaction-level detail, giving you a complete, line-by-line view of every donation rather than rolled-up totals. 
This gives your team more flexibility to customize how you work with the data — especially as disbursement frequency increases with our move to weekly payouts.
 

Tip: Use auto-sum formulas in your accounting tool to total the datasets that matter most to your reconciliation workflow. The dashboard table also displays the net total for each disbursement so you can match deposits to reports at a glance. 
Note: we're actively updating this to show net amounts (currently gross) to make reconciliation even more seamless.

 

The report format has changed. The new column names, transaction IDs and number formats are different. How do we work with the new format?

The new format is built around transaction-level detail — and it's the direction we're committed to. A few things to help you get oriented: 
The Disbursement ID isn't visible in the table view right now, but it is searchable and will appear in your downloaded report. We're adding it back to the table view based on early feedback. 
Legacy reports remain available during this transition period. We will communicate clearly and in advance before they are retired.

 

My report shows amounts marked "(est)". Are these final? 

No. Amounts marked (est) are estimates that will be confirmed once the disbursement reaches Complete status. Re-download the report after the disbursement is finalized, with the confirmed figures.

 

I can't find the report I'm looking for. What should I do? 

Try clearing your filters and broadening your date range. If you still can't locate it, contact Benevity Support with your Disbursement ID or Bank Reference ID.

 

Can I access reports from previous years? 

Yes. Use a custom date range in the Filters panel to search for historical disbursements from January 1, 2021.

 

Can I still access the old reports page? 

A link to the legacy reports experience will be available for approximately six weeks after launch to help organizations transition.
